Terms & Conditions

Last updated: 18th October 2026

These Terms & Conditions apply when you use www.wildmindstudios.com, buy a product from me or work with me on a project. Wild Mind Studios is run by me, Amie Duke-Woolley, as a sole trader based in Wivenhoe, Essex. If anything here isn’t clear, just get in touch before we start.

1. Services I offer

Wild Mind Studios offers brand identity design, brand photography, Squarespace web design, launch support, monthly social content and digital products. The details of each project, including what’s included, timescales and cost, will be set out in your proposal. If anything in your proposal differs from these terms, the proposal takes priority.

2. Booking and deposits

  • Your project is confirmed once you’ve accepted the proposal and paid the deposit.

  • For one-off projects, a 50% non-refundable deposit secures your place in my schedule, with the remaining balance due before final files are handed over or your website goes live, unless your proposal says otherwise.

  • Monthly services are paid in advance at the start of each month.

3. Payment

  • Invoices are due within 14 days, unless your proposal says otherwise.

  • I’ll only release final files, logins and full-resolution images once everything has been paid.

  • If you’re a business client and an invoice is overdue, I may charge interest and compensation under the Late Payment of Commercial Debts (Interest) Act 1998, and I may pause work until it’s settled.

4. Working together

To keep your project on track, I ask that you:

  • Give me the information, content, photos and feedback I need when I need it

  • Make sure anything you give me, such as text, images or logos, is yours to use, or that you have permission to use it

  • Let me know your feedback in writing, and in one go per round where possible

If I don’t hear from you for 30 days during a project, I’ll put it on hold. Restarting it will depend on my availability, and I may charge a fee if picking it back up needs extra time.

If a project has been on hold for 3 months with no contact from you, I’ll close it. Any money paid for work already done won’t be refunded, and if you’d like to pick it back up later, it’ll need rebooking, depending on my availability.

5. Revisions

Your proposal will say how many rounds of revisions are included. Extra rounds, or changes to the agreed scope, can be added at my hourly rate, and I’ll always let you know the cost before doing any extra work.

6. Brand photography sessions

  • You can rearrange a session once, free of charge, with at least 7 days’ notice. Changes with less notice may mean losing your deposit.

  • If I need to rearrange because of illness, an emergency or unsafe weather for outdoor shoots, I’ll offer you a new date as soon as possible.

  • I’ll edit and deliver a selection of the best images, and I don’t supply unedited files.

  • Images are usually delivered within the timescale in your proposal, through a private online gallery.

7. Websites

  • Your website will be built on your own Squarespace account, which you pay for and own. Domains, email accounts and any third-party apps or plugins are also yours to pay for and manage.

  • I’ll test your site before launch, but I’m not responsible for changes, outages or new features introduced by Squarespace or other providers after it goes live.

  • Once your site is handed over, ongoing updates and support aren’t included unless they’re part of your package or a separate agreement.

8. Social content and marketing

  • You’ll approve all content before it’s posted, and once you approve it, you’re responsible for what it says.

  • You’re responsible for making sure any claims about your products, services or results are accurate and follow the rules for your industry, including advertising standards.

  • I can’t guarantee specific results, such as follower numbers, engagement, rankings or sales.

9. Ownership and copyright

  • Logos and brand identity: once you’ve paid in full, you own the copyright to the final logo and brand assets I create for you. Concepts and sketches you didn’t choose stay mine.

  • Websites: once paid in full, the content and design of your site are yours, apart from Squarespace’s own templates and code, fonts or images that are licensed from someone else.

  • Photography: I keep the copyright to all photos I take, and once paid in full you get a licence to use them for your business, including your website, social media, marketing and print. You can’t sell the images, enter them into competitions or pass them on to third parties for their own use without my permission.

  • Social content and graphics: once paid for, you can use them for your business as you like.

  • My portfolio: I’d love to show your project in my portfolio and on social media, but I’ll always ask first. You can say no, or ask me to remove it at any time.

10. Website content

All photos, designs, artwork and writing on wildmindstudios.com belong to me, unless they’re credited to someone else. You’re welcome to share links to my site, but please don’t copy, download or reuse my content without my permission. Work shown in my portfolio was created for my clients and is shared with their permission, so it can’t be reused either.

11. Digital products

  • Digital products are delivered by instant download or email after purchase.

  • They’re for your personal use only and can’t be copied, shared, resold or redistributed.

  • Because you get access straight away, you’ll be asked to agree that your right to cancel ends once the download starts. After that, I can’t offer a refund unless the product is faulty or not as described, in which case please get in touch and I’ll put it right.

12. Cancellations

  • One-off projects: you can cancel at any time by letting me know in writing. The deposit isn’t refundable, and you’ll pay for any work completed up to that point.

  • Monthly services: these can be cancelled with 30 days’ written notice.

  • If I need to end a project: I may end a project if invoices aren’t paid, if you don’t respond for 3 months, or if the working relationship breaks down. If this happens, you’ll pay for the work completed up to that point, and I’ll refund anything you’ve paid for work I haven’t done.

  • If I’m unable to complete your project: I’ll refund any money you’ve paid for work I haven’t done.

  • Personal customers: if you’re booking as an individual rather than a business, you have 14 days to cancel after booking. If you ask me to start work within those 14 days, you’ll pay for the work done until you cancel.

13. Liability

  • I’ll always carry out my work with reasonable care and skill.

  • My total liability to you for any project is limited to the amount you’ve paid me for that project.

  • I’m not responsible for indirect losses, such as lost profits, business or data, or for problems caused by third-party platforms, your own devices or internet connection, or content you’ve supplied.

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can’t be limited by law, and it doesn’t affect your statutory rights as a consumer.

14. Privacy

I’ll only use your personal information as set out in my Privacy Policy.

15. Changes to these terms

I may update these terms from time to time. The version that applies to your project is the one in place when you booked, and the latest version will always be on this page.

16. Law

These terms are governed by the law of England and Wales, and any disputes will be dealt with by the courts of England and Wales.

17. Contact

If you’ve got any questions about these terms, just email me at amie@wildmindstudios.com.
